I'm leaving Meadowbrook. What should I do with my Meadowbrook Account?
If you're leaving Meadowbrook for good your Meadowbrook Google account including your Docs, Sites and email will be deleted on June 30. Here's how to save your important files and messages for life after Meadowbrook. Transferring Google Mail and Drive Content What actually gets transferred? You can copy and transfer these kinds of files from your Meadowbrook account to another Google Account: 1. Email in Gmail (not contacts, chats, or tasks) 2. Documents that you own in Google Drive (except files in the "Google Photos" section of Drive) 3. Documents in My Drive The original files stay in your school account. Any changes you make to the copied files don't affect the originals. A file in My Drive won't be copied if either of the following are true: 1. You're a viewer, not an editor or owner 2. The owner has turned off download, print, and copy options for commenters and viewers When the copy process is done, you'll be notified by email about any files in My Drive that weren't copied. Navigate to Google Transfer Open a browser, navigate to https://takeout.google.com/transfer and login with your Meadowbrook Google account. Enter Destination Account Specify the Gmail account that you would like to transfer your Meadowbrook content to (if you don't have one already, you'll need to create one at gmail.com) and click the "Send Code" button to begin the verification process. Verify Your Account Retrieve the verification email from your personal Gmail inbox and click on the "Get confirmation code" button. Copy Confirmation Code Copy the confirmation code to your clipboard to use in the next step. Finish Verification Paste the confirmation code into the appropriate field and click the "Verify" button to complete verification. Verify and Begin Transfer 1. Verify the source and destination accounts 2. Select which content you would like to transfer 3. Begin transfer Confirmation You will see a confirmation when the process setup is completed. Where do I find my transferred emails? Your Meadowbrook emails will be added as a new label in your personal Gmail inbox. The label will be titled "Moved" and then the date on which the transfer was initiated. Where do I find my Drive content? A new folder will be created in your personal "My Drive" with a label that includes the name of your Meadowbrook account and the date on which the transfer was initiated. Inside this folder you will find all of the copied content from your Meadowbrook account. For more information on the Google Takeout Transfer tool, check out the following resources: Official Google knowledge base article Teaching Forward article (includes step-by-step video tutorial) If you would like to keep any Google Sites that you created: 1. Go to the site 2. Click the Share icon at the top right of the screen 3. Share with your personal email account and make this account "owner" of the site Transferring Google Contacts You can export your contacts from your school email account and import them into your personal gmail account by following these steps: 1. Go to your school email account, click on the triangle next to Mail toward the top left of the screen and choose "Contacts" 2. Click on "More" from the top of the screen and choose "Export" 3. Choose the contacts that you want to export and leave the default format as google.csv 4. This file will appear in the downloads folder on your computer 5. Go to "Contacts" in your personal gmail account 6. Click on "More" from the top of the screen and choose "Import" 7. Select the file called "google.csv" in your downloads and these contacts will appear in your personal account

How do I enable 2-factor authentication on my Meadowbrook Google account?
What is 2-factor authentication, and why do I need it? 2-factor authentication adds another layer of security to your account, which drastically reduces the chances of having your account compromised. Instead of the typical sign-in process, which only requires you to require your password (something you know), 2-factor requires both the password and a second time-based code tied to a physical device (something you have). With 2-factor enabled, for someone to gain access to your account, they would need to both know your password, and also have access to your 2-factor device, which is highly unlikely. It's important to carefully read and understand these instructions when setting up 2-factor authentication. If 2-factor is set up without understanding this additional security layer, it's possible to lock yourself out of your account. In the standard setup, at sign in you will occasionally be required to enter a code that is either texted to your cell phone or provided to you via a voice phone call. It's highly encouraged to set up an app on your phone to use instead of relying on text messages. Using an app ensures you'll be able to sign in even if you don't have cellphone service or internet - the app works completely offline. You should also follow the instructions below to create backup codes, which will provide you emergency access in case your 2-factor device is lost, stolen, or damaged. If you ever have an issue accessing your account, please email help@meadowbrook-ma.org for assistance. Enabling 2-factor authentication From your Google Account, click the "Rubik's cube" icon Click Account Open Security Open 2-Step Verification It's a good idea to read the introduction of 2-Step Verification and how it helps increase the security of your account. Click Add an extra layer of security. Enter your phone number to receive a voice or text message verification. You will receive a text message or voice message with a verification code. Enter the verification code. Congrats! You have set up 2-Step Verification Setting up backup codes (required) It's a great idea to set up a backup to access your account if you ever lose access to your phone. With backup codes, you'll always have a backup method to access your account. As always, if you ever have any issues with your account, you can email help@meadowbrook-ma.org or reach out to the Tech Team for help. Here you can print these backup codes - your wallet is a great place to store them in case you need them. Additional 2-step verification methods We recommend adding either of both of the following methods as 2-factor methods: 1- Authenticator app You can set up either Google's Authenticator app or another authenticator app, such as Authy here. Doing so will allow you to verify your account even without SMS service. 2 - Security Key A physical USB security key can be used to sign in. If you are interested in obtaining a security key, please email help@meadowbrook-ma.org.

I'm helping onboard a new employee or a employee depart. How do I request account/equipment changes?
We have a process in place, as recommended by our auditors, that requires that any changes to accounts for employees be communicated solely from HR to IT through an audited process. For any of the following needs, please communicate your request to HR, which will then approve the request and submit a form to IT: Creation of a new account for a new employee Need for a new computer/device for a new employee Return of equipment/suspension of accounts for a departing employee New Employees HR communicates the official start date of new employees to IT during this process. Typically, employees are required to clear CORI/SORI before gaining access to Meadowbrook accounts. IT then creates the account and communicates the first steps to the employee by sending an email to the employee's personal email, with the immediate supervisor cc'ed. This email will include information about a device, if appropriate for the role. Our goal is to have accounts communicated to new employees the day before their official start date, and have their device, if needed, ready for their first day. Departing Employees Similarly, when departing employees are communicated to IT from HR, an official last date is communicated. IT then sends an email in advance of that date to the departing employee, with the immediate supervisor cc'ed, with instructions on how to prepare for account closing/device return if needed. Timing The process to create accounts for Meadowbrook employees is quite involved. Please provide IT at least a week, whenever possible, of advance notice to ensure new accounts are created smoothly and in a timely manner. Depending on device needs, even further notice may be required.

Multifactor Policy
All employees will be required to have multifactor authentication enabled for any Meadowbrook account that supports multifactor authentication by May 30, 2022. Below is a FAQ on the new policy: What do I need to do? By May 30, every employee must have multifactor authentication enabled on all Meadowbrook accounts. Most teaching faculty will meet this requirement by enabling multifactor on their Google account. Instructions on how to turn on multifactor can be found here. Why do I need to do this? Multi-factor is a powerful security measure that adds something you have (in the form of the multifactor device) to something you know (in the form of your password). We face increased cybersecurity threats, and multi-factor is a powerful part of our measures. The School’s cyber liability insurance is requiring all employees to have multifactor enabled as well. What will happen if I don’t enable this in time? Your Meadowbrook account will be suspended on June 1, and you will need to visit the help desk to have it re-enabled. What other Meadowbrook accounts support multifactor? Most accounts in use at Meadowbrook use Google for sign-in. Employees should sign in with Google to school accounts whenever the option is available. If you access a school account through a method other than Google, ensure Multi-Factor is enabled for that sign-in method, if available. If you sign in to a school account without Google and are unsure if the account offers Multifactor Authentication, please contact the help desk (help@meadowbrook-ma.org. Is there another option for multifactor besides my phone? Please email help@meadowbrook-ma.org if you’d like to explore other options for multifactor other than your phone.

Changing my Meadowbrook password with Classlink
Classlink Login Info Your Classlink username is in the following format: Students: first initial, last name, graduation year Faculty: first initial, last name Please note that your Classlink username is not your full Meadowbrook email address. Do not use @meadowbrook-ma.org when logging into Classlink. Your Classlink password is the same password as your Meadowbrook Google account. When you change your password for Classlink, you are also changing your password for your Meadowbrook account. Changing Password, Method 1: I know my current password 1. Log into Classlink at https://launchpad.classlink.com/meadowbrook. NOTE: Do not use “Sign in with Google”. Use your Classlink login info (see top of this page for more info). If you are prompted to add 2-Factor Authentication to your account, please visit this article for instructions on setting it up. 1b. If you have 2-Factor Authentication already enabled, follow the instructions to either get a text message code, or get a code from an authenticator app (usually Google authenticator) on your phone. This app is called "Authenticator". Then, type in the code that is present for Classlink. If you are prompted to sign in to Authenticator, do so with your Meadowbrook account. 1c. If you don't see a code for Classlink, try logging in with any other Google accounts on your phone. Do this by pressing the profile icon in the top right corner, and either selecting another logged in account, or pressing "Add another account". 2. From the launchpad, click on your profile in the upper right hand corner. 3. Select "Settings" from the drop down menu that appears. 4. Select the "Recovery" tab from the pop up menu that appears. 5. Select "Change Password". 6. Type in your current password in the "Old Password" field. Type in your new password in the "New Password" field and again in the "Confirm Password" field. Then, select the green save button at the lower right hand corner of the screen. Changing Password, Method 2: I forget my password 1. Navigate to Classlink at https://launchpad.classlink.com/meadowbrook and select "Help, I forgot my password" below the Google sign in button. 2. Enter your username where prompted (without the @meadowbrook-ma.org at the end), then click the blue checkmark. 3. Follow the prompts to reset your password and create a new one. Syncing Your Computer & Your New Password Your password is now changed! We strongly recommend that you follow these next steps to make sure your computer functions correctly. These steps are: Restart your computer & enter new login information Log in to Google Chrome with new login information Log in to Papercut with new login information Restarting Your Computer The very first thing to do is to restart your computer. Immediately after changing your password, your computer will basically "stop recognizing you" - ie, your currently logged in credentials no longer match. To alleviate this, you can restart your computer and type in your new password. After going through the Mosyle login steps, you will be told that your local user and Single Sign-On password do not match. Type in your OLD password, then hit Enter to continue. Re-Log In To Chrome Once you have restarted and logged back in, you will need to sign into Chrome. Open the Chrome browser, and you should see "Paused" next to your profile picture in the top right corner of the browser. Click on that, then hit "Sign in again". This will also log you into Gmail, Drive, and any other Google services that you use in Chrome. Re-Log In To Papercut Last but not least, you need to re-log in to the printer/papercut. Go to any webpage or document (I usually just go to google.com), and hit Cmd and P together to bring up the print screen. Make sure that the printer you are using is papercutvirtualqueue, then hit "Print". (You don't actually have to print out whatever you're sending to the printer -- feel free to delete the print job next time you find yourself by a printer.) Once you have done that, find the Print Center icon on the dock at the bottom of your screen, and click on it to bring it up. You will likely have the print job you just put in, with a note that says "Hold for authentication". From here, click on the icon with a lock/circular arrow at the far right of that print job. You will be prompted to enter your new password. After doing so, the print job should go through and disappear. (Make sure to select "Remember this password in my keychain" if you don't want to have to do this every time you print!) If the print job stays and says "Hold for authentication" again, that means you have entered your new password incorrectly. Please click the icon & enter your credentials again. You are all set - congrats on a successful password change!
